Management Services

Schedule and coordinate board meetings with proper notifications, mailings, meeting minutes being distributed and packages for upcoming meetings which ensures that Florida Statutes are in compliance. Will attend a minimum of four (4) board meetings per year.
 
Escrow demands, new homeowner packages and new homeowner orientation.
 
Work with the Resort Management, the designated on-site property manager (if one is assigned by the BOD) and support the Association’s CC&R provisions, policies and Rules/Regulations. Send violation notices to the appropriate property owners and ensure that the on-site property manager provides timely updates in regard to violations being remedied. All notices of violation sought after by the on-site property manager must be approved by the President of the Association prior to citations being sent.
 
Report at the Board of Director Meetings on assessment delinquencies, payroll for previous period and a brief description of performed maintenance as well as reserve projects.
 
Interface with government agencies, attorneys, CPAs and vendors.
 
Weekly walk-through of facilities in conjunction with the on-site property manager.
 
Facilitate with the Board of Directors, or their committee chair, the documenting of project scopes and specifications, submit invitations to bid on the projects and facilitate screening of vendors to present to the BOD.
 
Goal setting with preventive and curative maintenance planning with the Board of Directors and on-site Property Manager.
 
Prepare detailed worksheets to the Board of Directors in the budget preparation process to include a 12-month expenditure by line-item accounts. Prepare in conjunction with the yearly budget, a reserve budget with a Replacement Reserve Calculating Worksheet. IHRM, Inc. promotes all Associations to rely on a formal Reserve Study every 3-5 years to which is performed by an outside vendor that specializes in the consultation of Reserve Funding for property owner associations.
 
Meet or surpass continuing education requirements as noted by the Department of Business and Professional Regulation for Community Association Managers.
 
Periodically, facilitate educationally based speakers/webinars to attend/present at Board of Director Meetings, such as insurance, legal, public safety, etc.
 
Ensure all invoices to be paid by the Association have been properly approved for payment. Code each invoice to the appropriate budgeted line item and authorize the invoice to be paid. Only at this time, will a check be signed and payment submitted.
 
Schedule and coordinate the Annual Membership Meetings with proper notifications, mailings, meeting minutes being distributed and packages for the upcoming meeting which ensures that Florida Statutes are in compliance. Will attend and record all Annual Membership Meetings.
 
All meetings will be available through video conferencing and will be recorded to ensure accuracy in the minutes of the meetings.
